Scanmar Maritime Services, Inc. and its affiliated companies provide international crew and ship management services, including but not limited to crew management, ship management, crew training and safety, and offshore crewing. We are committed to protect your personal information with respect to your right to privacy. When you visit and use this website, www.scanmar.com.ph, you hereby trust us with your personal information. In this Privacy Policy, we need to explain to you what information we obtain, how we use them and what rights you have in relation to such. 2. User’s Personal Information

We collect basic personal information that you provide in this website via such as name, email address and location in our Contact Form and Application Form that you willingly provide to us expressing an interest in obtaining additional information about our company and/or our services.

The personal information we collect include the following:

Name. We collect full name as a verification of the legitimacy of you as our users who access and share information in our site.

Other Information. We collect information of our applicants such as weight, height, nationality, date of birth, civil status, religion, parents’ names, dependents’ names, Social Security System (SSS) number, tax identification number (TIN), PAG-IBIG number, PHILHEALTH number, educational background, employment background, contact persons/references, and medical background through our Application Page.

Contact Information. We collect your email address which shall serve as our main contact reference of the user who owns the information that is provided to our site through our Contact Form. Direct contact information such as mobile number and landline number of our applicants are obtained through our Application Page.

Documentary Requirements. We collect copies of shipboard employment document/licenses in portable document format (“PDF”) files which contain vital information such as date of issuance, date of expiry and identification information about the applicants. These documents/licenses are seaman’s book, Philippine passport, ERN, Training Certificates, Certificates of Proficiency, Yellow Fever Vaccine No., and other applicable documentary requirements for the processing of the job application process through our Application page.

Feedback/Message. We collect the information via Contact Form you provided such as queries, concerns and/or feedbacks regarding our services, given the fact that these shall help us improve the information we provide in our site.

Credentials. For login of Scanmar employees, clients and applicants, we collect usernames, passwords, password hints, and similar security information for authentication and account access.

The aforementioned information you provide to us must be true, complete and accurate. Should there be any changes, you may notify us if necessary. All of the information provided shall be deemed as confidential and shall not be used for any purpose that shall bring harm to you or to the security of your identity.

3. Automatically-collected Information

Some information such as IP address and/or device and browser characteristics are automatically collected when you visit our site.

These information do not reveal your specific identity, e.g. name and contact information, but may include device and usage information such as IP address, browser and device characteristics, operating system (“OS”), language preferences, referring URLs, device name, country, location, information about how and when you access our site and other technical information.

These shall automatically be collected for the maintenance of the security and operation of our site, and for internal analytics and reporting purposes. Furthermore, we also collect information via cookies and similar technologies like other websites.

4. Usage of Collected User Information

We use personal information collected through this site in reliance with our legitimate business purposes (“Business Purposes”) (Recruitment and Placement Services) and the very purpose for which you have provided them with your consent (“Consent”). Moreover, these information are used according to the legal provisions for the jurisdiction in which the website is maintained and/or of the nature of the inquiry.

Specifically, we use the information we obtain for the following purposes:

For legitimate business purposes. We may use your information for business purposes such as data analysis and determining of usage trends, effectiveness of our promotional campaigns and feedback on our website, services and your experience with our company.

To request feedback. We may use your information to request feedback and reach out to you about your experience with our website as well as to our services.

To process job application and keep records for applicant statistics. We use the information given to us by our applications through the Application Page and keep them as our records for applicant statistics.

To send administrative information. We may use the personal information you provided to us to send you updates on our services, new website feature, available positions for employee recruitment, and/or those which pertain to our terms, conditions and policies. Also, for the login function, we use the information we collect from our employees, for the authentication of their identity as legitimate users of our employee login access and send vital information such as updates on the website features and/or those which pertain to our terms, conditions and policies.

5. Sharing of Collected User Information

We only share information with your consent and to comply with laws, to protect your rights and to fulfill business obligations. We may share your information based on the following legal basis:

Consent: We may process your personal information if you have given us the consent to use it for a certain purpose.

Legitimate interests: We may process your data when reasonably necessary to achieve our legitimate business interests.

Legal Obligations: We may disclose your information when legally required to comply with applicable law, governmental requests, judicial proceeding, court order or as part of legal process.

Vital Interests: We may disclose your information when we believe it is necessary to investigate, prevent or take action against potential violations of our policies, suspected fraud and in situations where there are potential threats to any person and illegal activities.

6. Website Cookies Policy

We use cookies and similar tracking technologies such as web beacons and pixels to access or store information.

A cookie determines an Internet-enabled device’s recurring visits and activate website features and functionalities. This can share information through the device’s browser to authenticate user access via IP address. It does not collect confidential information from a device and carry threats such as virus and files that are detrimental.

When an employee logs in, we shall also set up several cookies to save the login information with screen display choices. Login cookies last for two (2) days, and screen options cookies last for a year.

If an employee wishes his logged in account to be remembered by the browser, the employee’s login information shall persist for one (1) day. If the employee logs out of his/her account, the login cookies shall be removed.

7. Retention of Collected User Information

We keep your information for as long as necessary to fulfill the purposes set out in this Privacy Policy unless a longer retention period is permitted or required by the law. No purpose in this policy shall require us to keep your personal information for longer than 12 months.

When we no longer have legitimate business purpose to keep and process your information, we shall delete it within a span of 12 months or if not possible, anonymize it due to the fact that it has been stored in backup archives by our system. This shall require us to securely store your personal information from being processed by anyone until removal is already possible.

8. Safety of Collected User Information

We have implemented appropriate security measures designed to secure any information you submit to us. However, please be aware that the Internet itself is not 100% safe, so accessing your information in a non-secured environment is at your own risk. Despite that, we shall do our best to protect your personal information from any threat to the security of your identity.

User Privacy Rights

In some regions such as the European Economic Area, under the General Data Protection Regulation (GDPR), you have the rights that shall allow you to a greater access and control over your personal information.

The applicable data protection laws shall allow you to: a) request access and obtain a copy of your submitted personal information; b) request erasure or alteration; c) prohibit the processing of your personal information; d) if necessary, to data portability.

If we depend on your consent to process your personal information, you can withdraw your consent at any time; however, this shall not affect the lawfulness of the processing before its withdrawal.

You can also request that we erase any personal data we hold about you. Nonetheless, this does not include any data we are obliged to keep for administrative, legal, or security purposes.

If you are a resident in the European Economic Area who thinks that your personal information is being illegally processed, you can send your complaints thru to your local data supervisory authority or contact us through privacy@scanmar.com.ph.

9. Controls to Do Not Track Features

Several web browsers as well as mobile operating systems (“OS”) and applications include a Do-Not-Track (“DNT”) feature that allows you to activate your privacy preference not to have data about your online browsing activities collected. There is no such uniform technology standard for determining and implementing DNT signals that has been finalized. With that, we currently do not respond to DNT browser signals that automatically communicates with your preference not to be tracked online. If we adopt and should comply with a certain tracking standard in the future, we shall inform you through the revised version of this Privacy Policy.

10. Revision of Privacy Policy

We may update this Privacy Policy in compliance with the relevant laws. Its updated version shall include the date when it was revised and shall be effective immediately. If changes are made in this Privacy Policy, we shall notify you by giving notice in our website or sending you a notification via email.

All of our users are encouraged to review this in order to be well informed of how every submitted information shall be protected.
